  • Description

Administrative volunteers at this placement would be working to help with daily administrative tasks that include:

    * Helping day to day administrative tasks like taking phone calls, providing information about the program to people and checking daily emails.
    * Working with staff to develop new systems in the office and help ensure that space is utilized as best as possible.
    * Developing a list of schools, community organizations or groups that would be interested in learning about environmental issues in Tanzania. These lists will be used to book workshops on various conservation topics such as:
    a) why it is important not to poach endangered animals
    b) what are the endangered animals
    c) why do people hunt endangered animals
    d) other ways to make income instead of illegal poaching
    e) environmental concerns such as soil erosion or the impact that tourists have on the environment in the Arusha area. This list would be very beneficial as it would help the organization learn about new opportunities on how they could get involved.

    * Work on existing schedules for workshops and create forms that outline what the group or teacher is interested in having presented. Creation of evaluation forms so that the organization can see how they are doing with the workshops, and add additional information to the workshop booking system.

    * Create spreadsheets on the most endangered species in the Arusha area and work with the team at your placement to learn about previous stats and if the population of each animal is increasing or decreasing. This is important information to be compiled so that the organization has up to date statistics and can work on developing new programs to address various issues.

    * Volunteers will also be asked to write a brief report about his or her experience. What they accomplished and projects that could be done in the future so that the next volunteer coming to work at this organization in the same position will have a good understanding of what was completed before, where it is, and where each project was left off.

  • Highlights

Although the Arusha branch of the organization is fairly small, they still facilitate many important conservation projects for the area. They can only afford to support one full-time and an assistant staff member that helps out on a part-time basis. These two staff are responsible for: all administration tasks, developing and maintaining projects, communication with the main branch in Dar es Salaam, educational programs about environmental issues and field work in National Parks and at the Flamingo project located a Late Naton.

As a result, they are very understaffed and could really benefit from a person who is interested in helping them with administrative tasks. With the help of a dedicated administrative volunteer, the society would be able to be more effective at completing their projects earlier and be able to work together as a team to ensure all reports to the head office at Dar es Salaam are complete and on time.

By assisting the staff in helping to organize programs and projects, the volunteer would be able to get intimately involved with the daily operations of this organization, thus learning of the day to day tasks that are required to keep the organization running. A volunteer in this administrative role would be providing an invaluable service to the organization.

  • Qualifications

Volunteers with a background in proposal writing, project planning or administrative assistance would be well suited for this placement. A volunteer does not have to have a lot of training in administrative tasks but being able to use Microsoft Word or Excel is an asset.
